How Far in Advance Should You Book Your Formal?

“When do we actually need to book?” is the question that decides whether your event is easy or stressful. Here are realistic lead times for every chapter event, and why booking early literally saves money.

Formals: 2–4 months out

Formals need the most runway. Popular venues and charter buses for peak spring weekends sell out first and cost more as they fill. Two to four months gives you the best selection and the best rates.

Vegas & destination weekends: 3–5 months out

Hotel room blocks and group flights need the longest lead time. Start early to lock in rates before they climb. (More in our Vegas weekend guide.)

Date parties & mixers: 3–5 weeks out

Smaller and more flexible, but you still want first pick of venues and a locked theme so members can plan outfits.

Bid day: 3–4 weeks out

Theme, decor and any custom merch should be set a few weeks ahead so nothing is rushed on the big reveal.

Parents weekend: 6–8 weeks out

Book the brunch venue first, then layer in the reception and any add-ons.
