“When do we actually need to book?” is the question that decides whether your event is easy or stressful. Here are realistic lead times for every chapter event, and why booking early literally saves money.
Formals need the most runway. Popular venues and charter buses for peak spring weekends sell out first and cost more as they fill. Two to four months gives you the best selection and the best rates.
Hotel room blocks and group flights need the longest lead time. Start early to lock in rates before they climb. (More in our Vegas weekend guide.)
Smaller and more flexible, but you still want first pick of venues and a locked theme so members can plan outfits.
Theme, decor and any custom merch should be set a few weeks ahead so nothing is rushed on the big reveal.
Book the brunch venue first, then layer in the reception and any add-ons.
It’s not just selection, pricing genuinely rises as venues and buses fill. Early booking is the easiest money a chapter can save. Map it out with our full formal planning checklist, or get a quote and we’ll handle the calendar.
