How to Plan a Sorority Formal: The Complete Checklist

Planning a formal for the first time can feel overwhelming: a venue, transportation, a DJ, decor, a budget, and a hundred small details, all on top of being a full-time student. This checklist breaks it into a clear timeline so nothing falls through the cracks.

3–4 months out: the big rocks

  • Set your date and a realistic headcount.
  • Agree on a budget and a per-person amount with your treasurer.
  • Book your venue — the most important and fastest-to-sell-out piece.
  • Reserve charter buses if the venue isn’t walkable.

8 weeks out: vendors & vibe

  • Confirm your DJ, lighting and sound.
  • Book a photographer or photo booth.
  • Choose your theme and decor direction.
  • Finalize the food & beverage plan with the venue.

4 weeks out: logistics

  • Collect payments and finalize the guest list.
  • Build the run-of-show — arrival, dinner, awards, dancing, departure.
  • Share bus times and pickup spots with every member.
  • Reconfirm headcount with the venue and caterer.

Week of: confirm everything

  • Reconfirm every vendor’s arrival time in writing.
  • Assign a couple of point people for the night.
  • Share the final timeline and any seating.

Night-of: be present

If you’ve done the prep, the night itself should run on autopilot. Let your point people handle vendor check-ins and the timeline so the exec board can actually enjoy the event.
