How much does an event cost?

Every event is custom, so there's no one price. It depends on your headcount, venue, date and the experience you want. What stays the same is our promise: transparent pricing with no hidden fees, and vendor relationships that stretch your budget further than booking everything yourself. Tell us your budget on the Plan Now form and we'll build the best possible event around it, then send a clear, itemized quote.

Is there a deposit, and how do payments work?

A deposit secures your date and lets us start booking vendors; the exact amount and payment schedule are laid out in your custom quote before you commit to anything. We're used to working with chapter treasurers and can structure milestones around your dues calendar. Nothing is due until you've approved the plan and the price.

How do we collect money from our members?

Most chapters collect a per-person amount through their treasurer or a group-payment app and pay Greektopia from the chapter account. We'll give you a clear per-head figure early so your exec board can budget and collect with plenty of lead time. If it helps, we can break the total into the line items members care about.

How far in advance should we book?

The earlier, the better: the best venues and Vegas hotel blocks go fast. As a rule of thumb: 2–4 months ahead for a formal, semi-formal or parents weekend, 6+ weeks for a date party or mixer, and as much runway as you can give us for a destination weekend. On a tight timeline? Reach out anyway. We move quickly and will tell you honestly what's still possible.

Do you have a minimum chapter size or budget?

No hard minimum. We plan intimate mixers and full-chapter formals alike. The quote is always free with no obligation, so it costs nothing to see what we can do for your group and your number.

What We Handle

Services & logistics.

What exactly is included?

As much or as little as you want. A full-service event typically covers venue sourcing and booking, theme and décor, lighting, DJ/entertainment, photography, transportation, timeline planning and on-site day-of management. Tell us where you need the most help and we'll scope the plan to fit.

What events do you plan?

Formals and semi-formals, Vegas and other destination formal weekends, bid day, date parties and mixers, and parents weekend, plus custom events. If you have something else in mind, tell us your vision and we'll build it with you.

Where do you operate?

We actively serve chapters across Arizona, California, Texas and Florida, and we plan destination weekends in Las Vegas, Scottsdale, Miami, San Diego and beyond. Somewhere else? Ask. We're expanding and may still be able to help.

Are you there the day of the event?

Yes. On-site, day-of management is one of the biggest reasons chapters book us. We run the timeline and handle vendors so your members can actually enjoy the night instead of working it.

Safety & Compliance

Risk management & chapter rules.

How do you handle safety and risk management?

Safety is built into every plan. We coordinate vetted, licensed vendors and venues, arrange group transportation so no one has to drive, and build a run-of-show designed to keep the night organized and low-risk. We'll work alongside your risk chair to make sure the event supports your members' safety from start to finish.

Can you work within our nationals' and university's rules?

Absolutely, and we expect to. Chapters answer to their headquarters, their IFC/Panhellenic council and their campus. Share your event policies (registration deadlines, guest-list and transportation requirements, approved-vendor rules) and we'll plan an event that fits inside them, so approvals are smooth.

Do the venues and vendors carry insurance?

We prioritize licensed, insured venues and professional vendors, and we can provide documentation your chapter or headquarters needs for event approval. If your nationals require specific certificates of insurance, tell us early and we'll make sure they're in hand before the date.

Fill out the Plan Now form with your event, date, rough headcount and budget. We'll follow up within 24 hours with ideas and a custom, no-obligation quote. From there we handle the planning and you approve the details.

What if we're not sure what we want yet?

That's completely normal. A lot of chapters come to us with just a date and a vibe. Share whatever you have and we'll bring the ideas, themes and options. There's no pressure and no cost to explore it.
