What we are
Greektopia plans collegiate events for sororities and fraternities: formals, semi-formals, bid day, date parties and parents weekend. We handle venues, vendors, contracts, transport and the day-of run of show.
There is no separate planning fee on top of the chapter's budget. The chapter sets a number, pays it to Greektopia from the chapter account, and we handle the venue and every vendor out of it. Because we book so many events, we secure rates a single chapter could not, so the budget goes further, not to us.
We are not a vendor trying to move fast around your rules — we plan inside them. A chapter’s standing with its national organization and its university is the first thing we protect, on every decision we make for them.
Your access
Every chapter gets a private dashboard. Advisors get their own login to the same place, so nothing has to be forwarded to you or summarised second-hand.
Event dates, venues, contracts, budgets and photos. The same view the exec board has, in real time.
Any contract that needs a signature is sent to you first — and we flag the language that matters (indemnification, “additional insured,” negligence and liability). The chapter cannot sign until you’ve reviewed it. Nothing is committed behind you.
You can see and comment on everything without being able to change it by accident. The chapter keeps ownership of its own decisions.
Contract review
When advisor review is switched on for your chapter, any contract that needs a signature is held until you have marked it reviewed inside the dashboard. The chapter physically cannot sign it before you do. Your review is recorded with your name and the date, so there is a clear record of who reviewed what and when.
You review the contract, not every event detail. Before it ever reaches you, we’ve read the venue’s contract line by line and flagged anything that tries to shift the venue’s own risk onto your chapter — indemnification, “additional insured” and negligence clauses included. If your headquarters or risk-management partner needs a copy to review, we send it on request, well ahead of the event rather than the week of it. Whether review is switched on is set up when your chapter joins; either way you keep full visibility of everything they’re planning.
Your policies, procedures & laws
Upload your national organization’s event and risk-management policies, your university’s rules, and any state or local laws right into your dashboard — or simply email them over. We read them before we plan anything, and we build every event to them, to the fullest extent. When an idea doesn’t fit your standards, we redesign the idea. We would far rather change a plan than put your chapter in front of its standards board.
Risk & compliance
We read every venue and vendor contract line by line before anyone signs, and we flag the clauses your organization watches for — indemnification, “additional insured,” negligence and liability. A venue’s own risk stays the venue’s, not your chapter’s.
On anything touching liability, protecting your chapter is the priority — full stop. We will not accept terms that push a vendor’s negligence onto your members, and nothing is committed without your review.
You’re never told “we handle everything” and left guessing. You see every contract, vendor and dollar in real time, and every signature waits on you. No detail is delegated out of your sight.
We work with venues, transport companies and vendors we have used before and hold to professional standards. We do not hand a chapter a list and wish them luck.
