Just got elected social chair? Congratulations. It’s one of the most rewarding roles in the chapter, and one of the busiest. The secret to doing it well isn’t working harder; it’s booking earlier. Here’s a semester-long timeline so you’re always ahead.

Your job, in one sentence

Deliver events your chapter loves, on budget, without last-minute chaos. Everything below serves that goal.

Start of the semester

  • Map every event for the term: bid day, date parties and mixers, formal, parents weekend.
  • Set a rough budget per event with your treasurer.
  • Put every date on a shared calendar the exec board can see.

Lead times that keep you sane

  • Formal: book the venue and buses 2–4 months out.
  • Vegas / destination weekend: start 3–5 months out for hotel blocks.
  • Date party / mixer: lock venue and theme 3–5 weeks out.
  • Bid day: theme and decor 3–4 weeks out.
  • Parents weekend: venue 6–8 weeks out.

The mistakes that cost the most

  • Booking late — the best venues and buses sell out first and cost more last-minute.
  • Fuzzy budgets — collect a clear per-person amount early so you’re not fronting costs.
  • No transportation plan — charter buses keep everyone safe and together.
  • Doing it all alone — delegate a point person for each event.
